Recording a Supplier Bill with Discount, GST and Packaging Charges

A supplier bill is rarely a simple quantity times rate. There is usually a trade discount on some lines, GST at different rates, and packaging charged at the end. Entered carelessly, your stock cost and your input GST both end up wrong.

Start from the product

When you choose a product on the purchase form, its purchase price and GST rate fill in from the product, so you only change what differs on this bill.

Enter the discount on each line

Put the discount percentage on the lines it applies to. GST is calculated on the discounted value, which is how the supplier's invoice works. The cost recorded for your stock is the net cost after discount.

Pick the right GST split

If the supplier is in your state, the tax shows as CGST and SGST. If not, it shows as IGST. The software decides from the supplier's state and your company state.

Add packaging charges

Enter packaging as a separate charge with its own GST rate, before the subtotal, so it is taxed correctly and included in the bill total.

Print labels for the new stock

After posting, you are asked whether to print barcode labels for what arrived, one per unit received.
